Payments & Billing
Simple billing, no surprise line items
Invoices arrive when the work is done and approved. Managed coverage bills on the same date each month. Nothing appears on a bill that you did not agree to first.
Accepted methods
Five ways to settle an invoice
Use whichever suits how your business moves money. None of them change the amount you owe.
Zelle
Our preferred method for most invoices. It settles fast, carries no processing fee, and works directly from your existing bank app.
ACH bank transfer
Available for business accounts and the usual choice for recurring monthly managed billing. Predictable and easy for a bookkeeper to reconcile.
Credit and debit card
Visa, Mastercard, American Express and Discover, accepted for projects, hourly work and monthly managed billing.
PayPal
Convenient for card payments and for anyone who wants an instant emailed receipt. You do not need a PayPal account to pay a PayPal invoice by card.
Business check
Accepted from business accounts. Reference the invoice number on the memo line so it is applied to the right account.
Not sure which?
Ask when you onboard and we will set up whichever is least friction for your finance process. It can be changed later.
How billing works
Predictable by design
- Managed coverage bills a flat amount on the same date each month, priced on your user and device count.
- Block hours are paid up front and drawn down, with the balance reported monthly so you are never guessing.
- Hourly work is billed at $250 per hour, with a two hour minimum per call and a $125 travel charge for onsite visits, invoiced when the work is done and approved.
- Projects are quoted at a fixed price before anything starts, with exclusions written down too.
- Hardware and licensing at cost plus a stated margin you can see on the quote.
What never happens
- An hourly estimate that quietly climbs while the scope stays the same
- A change order you find out about at invoice time
- A line item nobody can explain
- An auto renewal you were not told about
Straight answers
Billing questions
When do invoices arrive?
Project and hourly work is invoiced when the work is done and approved. Managed coverage bills on the same date each month, so it is predictable for your bookkeeper.
What are your payment terms?
Net terms are agreed when you onboard and written into your agreement. If a bill is ever unclear, call before you pay it. We would rather explain a line item than have you sitting on an invoice you do not understand.
Can I get a receipt?
Yes, automatically for card and PayPal payments, and on request for anything else.
Will anything appear on a bill I did not agree to?
No. Projects are quoted at a fixed price before work starts, with the exclusions written down. Anything genuinely new gets quoted rather than invoiced as a surprise. If something on a bill looks wrong, tell us and we will fix it.
Do you take card for monthly managed billing?
Yes, though most managed clients use ACH because it is lower friction and easier to reconcile.
Something on a bill unclear?
Call (602) 677-0779 before you pay it. We would rather explain a line item than have you sitting on an invoice you do not understand.
